Cancellation & Refund Policy
At Trek The Heaven, our goal is to offer a smooth and memorable experience to every trekker. This reflects not only in our services but also in the way we handle cancellations.
We understand that life can be unpredictable, and sometimes plans change for reasons beyond your control. And truly—who would want to cancel an exciting Himalayan adventure unless absolutely necessary? Keeping such situations in mind, we’ve created a straightforward and flexible cancellation policy that prioritizes your convenience.
We’re proud to say that Trek The Heaven offers one of the most traveller-friendly cancellation systems.
When you cancel a trek with us, you can choose from three flexible options:
1. Refund
The refund amount depends on how many days before the trek you cancel.
2. Cash Voucher / Coupon
We can issue a voucher equal to the amount paid.
-
Valid for 24 months from your original trek departure date.
-
You can use the coupon for any of our confirmed departures during this period.
-
The coupon code will be emailed to you.
3. Transfer Your Trek
You may transfer your booking to a friend or family member for any date or trek of their choice.

Cancellation by Trek The Heaven (Operator)
If we are forced to cancel a trek due to conditions beyond our control – such as natural disasters, government restrictions, or other unforeseen circumstances – the following terms apply:
-
No monetary refund will be provided.
-
You may reschedule your trek for any available departure within 18 months of your original trek date.
-
The rescheduling value will be equal to or less than the amount you paid, after deducting expenses already made on your behalf (e.g., hotel bookings, transport arrangements, etc.).
All refunds are subject to deductions for any non-refundable costs incurred by Trek The Heaven.
Booking Terms
Trek The Heaven (registered under the same name) conducts adventure activities across Uttarakhand.
Trekking and adventure travel naturally involve certain risks. While we are proud of our excellent safety record with zero fatalities, participants should acknowledge that injuries or illness can occur, and proper preparation is essential.
By booking with us, you confirm that:
-
You are physically and mentally fit to join the trek.
-
You accept full personal and financial responsibility for any injuries, accidents, illness, or loss/damage to your belongings during the trek.
-
You understand that itineraries may change due to weather or external factors, and no refund can be provided in such cases.
-
If situations like riots, political issues, natural disasters, administrative restrictions, or similar events force the trek to be cancelled, refunds cannot be issued.
-
If a trekker’s behaviour poses a risk to themselves, the team, or the staff, we reserve the right to end their participation without refund. Any expenses arising from such events must be borne by the participant.
-
If a participant chooses to exit the trek early for personal reasons, no refund will be applicable.
In case of evacuation needs, we will assist as best as possible, but all costs must be covered by the participant.
We are not responsible for loss or damage to baggage during transport, mule carriage, or at remote campsites.
Medical expenses due to illness or injuries during the trek must be borne by the participant.
Refund Instead of Voucher – Your Choice
If you do not wish to receive a voucher, you may opt for a refund.
In such cases, 50% of the total booking amount will be deducted as service charges, and the remaining 50% will be refunded.
Example:
If you paid, ₹5000 as advance for a trek on 15th August 2025, and you cancel between 15 – 1 day before the trek:
-
Refund = ₹2500
-
₹2500 retained as service fee
Advance Payment Structure
To confirm a booking with Trek The Heaven, you must pay at least 30% of the total trek fee.
Note: This cancellation policy applies only to treks.
For Yatra programs (rare/customized tours), cancellation terms vary depending on additional factors.
